What we collect, and what we do with it.

The short version

We collect what you type into our forms, and general information about how the site is used.
We use it to reply to you, send you what you asked for, and understand which parts of the site are useful.
We don't sell it, and getting in touch doesn't put you on a mailing list.
Some of it is stored by our service providers in the United States.
You can ask to see, correct or delete what we hold about you at any time.

What we collect

What you give us

Contact form: your name, company, email address, phone number if you choose to add it, and your message.
Example report request: your name, company, work email address, and phone number if you choose to add it.
Audit request: your name, company, work email address, phone number if you choose to add it, a short description of the opportunity, and when the decision is due.
Email: anything you include when you write to us.

Please don't send sensitive information, such as health details, through our forms. We don't need it.

What is collected when you use the site

Analytics. We use Google Analytics to see which pages are visited, how people arrive (for example from a search engine, LinkedIn or a campaign link), what kind of device and browser they use, and roughly where they are, to the level of a city. When a form is sent, it records which form it was, but nothing you typed into it. Google Analytics does not store IP addresses. We use it to see patterns across all visitors, not to identify anyone.
How you found us. When you send a form, we also receive the page you sent it from, the first page you opened on this visit, the website that linked you to us if there was one, and any campaign tags on the link you followed. Your browser holds this in session storage until you close the tab, and it only reaches us with a form.
Fonts. Our pages load their typefaces from Google Fonts. Your browser requests them from Google directly, so Google receives your IP address and browser details. We don't receive that information.
Hosting. The site is delivered by Amazon Web Services, which uses your IP address to send you the pages and to protect the site from abuse. We don't keep logs of visits.
Spam protection. Our forms include a hidden field that people never see. If it is filled in, we treat the submission as spam and discard it.

How we use it

To reply to your enquiry.
To send you an automatic email confirming that your message or report request reached us. It repeats nothing you typed into the form.
To give you the example report you asked for, and perhaps send one short note afterwards asking what you made of it.
To arrange the audit you requested, and send you its summary.
To keep a record of our conversations with you in our customer relationship management (CRM) system, so whoever replies knows the history.
To understand which parts of the site are useful and how people find us.
To keep the site and its forms secure.

Marketing emails

Getting in touch or asking for a report does not put you on a mailing list. Our forms have a separate box to tick if you want a few short emails from Geoff about what we are seeing in the basins: five over about five weeks, then only occasionally. They are sent through our CRM, and they stop as soon as you reply, send us an enquiry or unsubscribe. Every marketing email we send says who it is from and includes a working unsubscribe link, as the Spam Act 2003 requires.

Cookies

Google Analytics sets two cookies, _ga and one beginning _ga_. They remember that your browser has visited before, and they last up to two years. We don't use advertising cookies, and Google's advertising features are switched off for our analytics. Our own pages set no cookies; the note of how you found us is kept in session storage, which your browser clears when you close the tab.

To opt out of analytics, block cookies in your browser settings, or install Google's opt-out add-on from tools.google.com/dlpage/gaoptout. The site works the same either way.

Who we share it with

We don't sell or rent personal information. We share it only with the service providers that run parts of our business for us, and only what they need to do that.

Amazon Web Services hosts the website, processes form submissions and runs our email. Data is held in the United States.
HighLevel, provided through our marketing agency Lean Marketing, is our CRM, where enquiries and report requests are kept, and it sends the emails you ask for with the opt-in box. Lean Marketing may access these records to help run our marketing. Data is held in the United States.
Google provides our website analytics and web fonts. Data is held in the United States and other countries.

We may also share information with professional advisers, such as our accountant or lawyer, or where the law requires it.

Information held overseas

Because the providers above store data in the United States, your information is likely to be held there. We use providers with strong security practices, but the privacy laws there may not protect you in the same way Australian law does.

How we protect it, and how long we keep it

Everything you send through the site travels over an encrypted connection.
Only people who need your information to do their work can see it.
Enquiries that don't lead to work are deleted after three years. Records about clients are kept for seven years after the work ends, to meet tax and legal obligations.
Analytics data is deleted automatically after 14 months.
Technical logs from our forms are deleted after 90 days.

Seeing, correcting or deleting your information

Email accounts@peregrinegeoservices.com to ask what we hold about you, to correct it, or to have it deleted. There is no charge. We may need to confirm who you are first, and we will respond within 30 days. If we can't do what you ask, for example because the law requires us to keep a record, we will tell you why.

Complaints

If you think we have mishandled your information, email accounts@peregrinegeoservices.com with the details and we will reply within 30 days. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.

Changes to this policy

If we change how we handle personal information, we will update this page and the date at the top.
